This privacy notice (“Notice”) describes how LF Open Source, LLC and its joint controller The Linux Foundation (collectively “LFOS,” “we” or “us”) collect, use, disclose, share or otherwise process your personal information when you make a registration for OpenSearchCon China 2026 (the “Event”) via https://www.lfopensource.cn/opensearchcon-china/ (“Site”), as well as when you interact with us or participating in our events, programs, and our other services and offerings during the Event (collectively, the “Services”).
1. Personal Information that We Process
- Necessary registration information. When you make a registration for the Event via this Site, we collect the following types of personal information from you: email, first name, last name, job title, company/organization, country, address, Zip (Postal Code), geographic region, GitHub username, GitLab username, Gitee username, Linkedin username, WeChat username, industry, what do you primarily consider yourself, project involvement, scheduling in-person meetings, how did you hear about the Event, and your shirt size.
- You do not have to provide us with these types of personal information. However, if you choose not to, we will not be able to complete your registration or provide you with access to certain Services.
- Other registration information. When you make a registration for the Event via this Site, we may also collect your company URL, work phone, emergency contact name, emergency contact phone.
- We collect these types of personal information to improve our Services or our communication with you. Your registration for the Event or access to the Services will not be affected if you choose not to disclose such information.
- Communications. When you communicate with us in connection with the Event or the Services, we may maintain a record of your communication.
- Payment information. To complete a registration for the Event or purchase Services, you may be asked to be directed to a third-party site, such as AliPay, WeChat Pay, Master Card, Visa, JCB, or E-bank Payment to pay for the purchases. If applicable, the third-party site may collect payment information directly to facilitate a transaction. We generally only record the result of the transaction and any references to the transaction record provided by the third-party site.
- Hotel booking information. If you book within one of the hotel room blocks contracted by us for the Event, we may access your reservation information from the relevant hotels.
- Automatically Collected Information. We may automatically collect the following information about your use of the Site or any online Services through cookies, web beacons, and other technologies: your domain name, your browser type and operating system, web pages you view, when you open certain emails we send, links you click, your IP address, your country of location, the length of time you visit our Site and or use our Services, and the referring URL, or the webpage that led you to our Site.
- Photos and recordings. During the Event, we may take photos of you and record your voice and the use of these photographs and/or recordings singularly or in conjunction with other photographs and/or recordings worldwide for our advertising, publicity, commercial or other business purposes.
2. Our Processing Purposes and Legal Basis
We rely on your consent as the legal basis for processing your personal information for the following purposes:
- Registrations. To process and complete your registration for the Event and the relevant Services, to prepare and print out event participant badges, and to complete the purchases you made when making a registration.
- Event Administration. To plan, organize, manage and facilitate access to the Event and relevant activities, and to carry out informative and safe events for participants. If you provide us information about disabilities, medical conditions and allergies, we will use this information in order to provide appropriate accommodations for attendees and to ensure their health and safety; we will not use this information for other purposes, unless required by law or as necessary to defend our legal rights.
- Operating Site and Services. To operate this Site and provide the Services, to communicate with you about your use of the Site and the Services, to respond to your inquiries, and provide troubleshooting of the Site.
- Promotions. For marketing and promotional purposes, such as to send you news and newsletters, special offers, and promotions, exclusive discounts for relevant training courses and certifications, or to otherwise contact you about our projects, services, events, trainings, news and announcements or other information we think may interest you related to LFOS, and, subject to applicable law, our affiliates, subsidiaries and managed services entities. We may also use photos and recordings involving you that we take during the Event for our advertising, publicity, commercial or other business purposes.
- Compliance. To comply with legal obligations and requests. For example, to comply with laws that compel us to disclose information to public authorities, courts, law enforcement or regulators, maintain records for a certain period, or maintain records demonstrating enforcement and sublicensing of our trademarks and those of our projects.
- Business and Legal Operations. As part of our general business and legal operations (e.g., accounting, record keeping, and for other business administration purposes), and as necessary to establish, exercise and defend (actual and potential) legal claims.
- Prevent Misuse. Where we believe necessary to investigate, prevent or take action regarding illegal activities, suspected fraud, situations involving potential threats to the safety of any person or violations of the relevant terms of this Notice.
3. Sharing Personal Information
We disclose your personal information to third parties as set forth below:
- Service Providers. We may share your personal information with third party service providers who use the personal information to perform services for us, such as registration and event administration service providers, payment processors, hosting providers, auditors, advisors, contractors and consultants.
- For example, for organizing the Event and providing the relevant Services, we will share your personal information with InfoSalon, who is engaged by us to operate the Site and provide online registration services. We will also share your personal information with A.T. Unicorn Associates Ltd., who is engaged by us to provide onsite registration and event administration services. In the US, we use the data storage services provided by Salesforce.com Inc. and HubSpot, Inc. and thus share your personal information with them.
- All these service providers will only process your personal information on our behalf following our instructions. They do not have independent processing purposes. We will be responsible for their processing activities.
- Other third parties. We may disclose your personal information to the following third parties:
- Event sponsors. If you register for an event, we may share your personal information with third party event sponsors. For example, in order to facilitate networking and business relationships at the event, you may voluntarily choose to visit a third party sponsor’s booth / virtual booth. When visiting a booth, clicking on a sponsors’ logo on a booth icon in the exhibit hall, and taking any actions within the booth thereafter (including viewing resources), the third party sponsor will receive some of your registration information from us. Such registration information includes your first name, last name, title, company, address, email, company size, job function, industry. The relevant third party sponsor will also collect and process details about the resources you interacted with in their booth. We encourage you to clarity with the sponsors about how they will process your personal information before you interact with them (e.g. allowing them to scan the QR code on your badge or viewing their resources).
- Public security authorities and their designated vendors. For example, to organise the Event onsite events in China, the Chinese public security authorities may require us to install certain identify authentication and facial recognition devices at the entrance of the entrance for local attendees. Your personal information will need to be shared with the vendors providing such devices and the backend systems. Your personal information may also be shared with the Chinese public security authorities under such circumstances.
- Your employer. Your registration and attendance at the Event will be associated with your LFX individual profile available at https://openprofile.dev and will be visible to your employer through your company’s LFX organization dashboard.
- Organizational events. We may disclose or transfer your personal information, as part of any merger, sale, and transfer of our assets, or restructuring of all or part of our business operations, bankruptcy, or similar event, including in negotiations, due diligence, and integrations related to such transactions.
- Protection of rights. We may disclose information where we believe it necessary to respond to claims asserted against us or, comply with legal process (e.g., subpoenas or warrants), enforce or administer our agreements and terms, for fraud prevention, risk assessment, investigation, and protect the rights, property or safety of LFOS, its users, participants in its events or projects, or others.
- These third parties above have their independent purposes and means of processing your personal information. They constitute separate controllers and their processing activities are subject to their own privacy notices and policies. If you want to know details about their processing, please contact us via privacy@lfopensource.com and we will use reasonable effort to put you in contact with the relevant third parties.
4. Data Security and Retention Period
We have implemented commercially reasonable technical and organisational measures (including but not limited to encryption, de-identification and access control) to protect your personal information from loss, misuse, and unauthorized access, disclosure, alteration, and destruction. We ask you to promptly notify us if you become aware that any personal information provided by or submitted to our Site or through our Services is lost, stolen, or used without permission at privacy@lfopensource.com.
We generally keep personal information only for as long as required to fulfil the purposes for which it was collected. However, in some circumstances, we may retain personal information for other periods of time, for instance where we are required to do so in accordance with legal, tax and accounting requirements, or if required to do so by a legal process, legal authority, or other governmental entity having authority to make the request, for so long as required. In specific circumstances, we may also retain your personal information for longer periods of time corresponding to a statute of limitation, so that we have an accurate record of your dealings with us in the event of any complaints or challenges.
5. International Transfers
As the data processors entrusted by us to operate the Site and provide the Services, Nanjing Diqi Information Technology Co., Ltd., and UNISTELLAR EVENT & TECHNOLOGY (SHANGHAI) CO., LTD., will first store your personal information collected via the Site and during the provision of the Services in their servers located within Mainland China, and then transfer your personal information to us in the US. We use the data storage services provided by Salesforce.com Inc. and HubSpot, Inc. and will store your personal information in these providers’ servers located in the US.
The types of your personal information to be transferred overseas and the transfer purposes are described in sections 1 and 2 of this Privacy Policy. Appropriate technical and organizational measures will be implemented to protect your personal information during and after the transfers. We will also take all the safeguards as required by the Chinese personal information protection laws to legitimize the transfers. You have a right to obtain details of the mechanism under which your personal information is transferred outside of Mainland China by emailing privacy@lfopensource.com.
6. Your Rights
You have a number of rights when it comes to our processing of your personal information. These include the rights of:
- Access: confirm to you, on request, whether or not personal information is being processed about you and access to or obtain a copy of your personal information;
- Rectification: provide rectification of inaccurate personal information;
- Erasure: erase personal information, (in limited circumstances, such as where it is no longer necessary in relation to the purposes for which it was collected or processed);
- Restriction: restrict the processing of personal information under certain circumstances;
- Data Portability: provide personal information, if the conditions formulated by the Chinese regulator are satisfied, in a portable format to other personal information controllers;
- Withdraw consent: withdraw your consent where the legal basis of the processing is consent.

7. Children’s Privacy
We do not knowingly collect or solicit personal information from anyone under the age of fourteen (14), or knowingly allow such persons to register. If we become aware that we have collected personal information from a child under the relevant age without parental consent, we take steps to delete that information.
